Service Description

Effective Date: September 23, 2026

This Service Description (Leistungsbeschreibung) defines the functional scope and the agreed quality (vereinbarte Beschaffenheit) of the BakeWind bakery management platform ("Service") provided by Nicolás di Rago. It forms part of the agreement between you and us, together with the Terms of Service, the Privacy Policy, the Data Processing Agreement (DPA), and the Service Level Agreement (SLA). Availability of individual features depends on your subscription plan.

1. Purpose of This Document

This document describes what the Service does. It is the benchmark against which defects are assessed: a deviation from the functional scope described here is a defect, and the absence of a capability not described here is not a defect.

Public statements, marketing materials, presentations, and advertising do not form part of the agreed quality. Where such materials conflict with this Service Description, this Service Description prevails, in accordance with Section 16 of the Terms of Service.

Not every feature described here is available on every subscription plan. Section 5 sets out which plans include which capabilities. A feature that is not included in your plan is not owed under your contract.

2. Nature of the Service

The Service is provided as software as a service (SaaS). It runs on our servers and is accessed through a standard web browser. No installation on your own systems is required, and no on-premise or offline version is provided.

To use the Service you need a current version of a common web browser and a working internet connection. We do not owe the availability, speed, or configuration of your own internet access, devices, or network.

The Service is operated as a multi-tenant application. Your data is logically separated from the data of other customers. Hosting takes place on servers located in Germany. Details of the technical and organisational security measures are set out in the DPA.

3. Core Functions (all plans)

All subscription plans include the following capabilities:

  • Order management: creating, editing, tracking, and fulfilling customer orders, including order status workflow and order history
  • Product catalogue: maintaining products, variants, prices, and product data
  • Inventory control: stock levels, stock movements, reorder points, and low-stock alerts
  • Recipe management and costing: recipes, ingredients, yields, and the Calculation Features described in Section 6
  • Customer database: customer records, contact details, and order history
  • Supplier records: supplier details and their assignment to inventory items
  • Analytics dashboard: reports and charts derived from the data held in your account
  • CSV data import and export, subject to Section 7
  • User accounts, roles, and permissions, as described in Section 8
  • Account settings: currency, units of measurement, date and number formats, language, and notification preferences
  • Support requests submitted and tracked through the Service, subject to the response times in the SLA

4. Extended Functions (plan-dependent)

The following capabilities are included only in the plans identified in Section 5:

  • Production scheduling: production plans, batches, and their progress
  • Staff management: staff records, positions, and role assignment
  • Internal orders between your own locations, including order locking to prevent conflicting edits
  • Inventory consumption tracking linked to production and orders
  • External orders received from connected delivery platforms, subject to Section 9
  • Customer portal: a separate interface through which your customers can place and review orders
  • Real-time collaboration: concurrent updates visible to users working in the same account
  • Multi-location management and location-based inventory

5. Subscription Plans & Limits

Each plan includes a fixed number of locations and user accounts. The limits are enforced technically within the Service. Exceeding a limit requires an upgrade to a higher plan.

  • Starter: 1 location, 3 users. Core functions per Section 3.
  • Professional: 3 locations, 15 users. Adds production scheduling, staff management, internal orders and order locking, consumption tracking, external orders, customer portal, platform integrations, and real-time collaboration.
  • Business: 10 locations, 50 users. Adds multi-location management and location-based inventory.
  • Enterprise: locations and users as individually agreed. Scope and any additional services are defined in the individual agreement.

The current plans, prices, and limits are shown on our pricing page. Changes to plans and prices are governed by Section 2 of the Terms of Service.

6. Calculation Features

The Service calculates recipe costs, margins, inventory values, and comparable figures by applying the calculation methods described in the in-product documentation to the ingredient prices, quantities, units, yields, tax rates, and settings that you enter and maintain.

The Service does not source, verify, or update market prices, and does not obtain data from external price sources. Outputs are estimates whose accuracy depends entirely on the accuracy and currency of your own data and configuration.

Calculation outputs are decision-support tools for your internal use. They do not constitute financial, tax, accounting, or pricing advice, and they do not replace verification by you or by your professional advisers. Your responsibilities in this respect are set out in Sections 5 and 6 of the Terms of Service.

A recipe's stored cost is calculated as follows. The total ingredient cost is the sum of the costs you have entered for each ingredient in the recipe. The cost per unit is that total divided by the recipe yield, then increased by the wastage factor configured in your account settings: cost per unit = (total ingredient cost / yield) x (1 + wastage factor). Stored cost figures are held to four decimal places.

The scaling preview is calculated differently, and deliberately so. When you scale a recipe, ingredient quantities are scaled proportionally and converted into inventory units, and each ingredient is then valued at the current unit cost recorded for the matching inventory item rather than at the cost stored on the recipe. The same yield division and wastage factor are applied, and the resulting figures are rounded to two decimal places. Where inventory prices have changed since the recipe was saved, the scaling preview will therefore differ from the recipe's stored cost, including at a scale factor of one.

Apart from the wastage factor and the rounding described above, no further adjustment is applied. In particular, labour, energy, overhead, packaging, and taxes are not included in recipe costing unless you have entered them yourself as ingredient costs.

7. Data Import & Export

You can import data into the Service and export your data from the Service in CSV format through the dashboard, at any time and at no additional charge, for the duration of your subscription.

Export functionality remains available during the 30-day retention period following termination, in accordance with Section 4 of the Terms of Service. Assisted migration beyond the standard export functions is not part of the Service and may be agreed separately for a fee.

8. Access, Users & Roles

Users authenticate with an email address and a password. Sessions are maintained using secure, httpOnly cookies. Each individual user must have their own account; shared accounts are not supported.

The Service provides a fixed role model with graded permissions: Owner, Administrator, Manager, Staff, and Customer. Roles determine which functions and data a user can access. Custom role definitions are not part of the Service.

9. Third-Party Integrations

Where included in your plan, the Service can exchange data with third-party systems, in particular delivery platforms for external orders. Payment processing and transactional email are provided through our own service providers.

The scope of an integration is limited to the data that the third-party system actually makes available through its interface. We do not owe the availability, correctness, format stability, or continued existence of third-party interfaces. If a third party changes or withdraws its interface, the affected integration may be reduced or discontinued without this constituting a defect of the Service.

Your responsibilities and our liability in respect of third-party systems are set out in Section 6 of the Terms of Service.

10. Not Included in the Service

The following are expressly not part of the Service:

  • Accounting, bookkeeping, payroll, or the preparation and filing of tax returns
  • Financial, tax, legal, or business advice of any kind
  • Sourcing, verification, or updating of market prices for ingredients or products
  • Supply, configuration, or maintenance of hardware, including point-of-sale terminals, scales, label printers, and receipt printers
  • Entry or maintenance of your business data on your behalf
  • Offline or on-premise operation, or use without an internet connection
  • Individual development, custom interfaces, or bespoke reports, unless separately agreed in writing
  • Training, consulting, or data migration services beyond the documentation and support included in your plan

11. Availability, Support & Data Protection

Uptime targets, planned maintenance, support channels, support response times, and service credits are defined in the SLA and are not repeated here.

The processing of personal data on your behalf, including the technical and organisational security measures and the list of sub-processors, is governed by the DPA. Our processing of personal data as controller is described in the Privacy Policy.

12. Changes to the Functional Scope

We develop the Service continuously. We may add functions, improve existing functions, and make technical changes that do not reduce the functional scope described in this document. Such changes do not require your consent.

If we intend to reduce the functional scope in a manner that is more than insignificant, we will notify you at least 30 days in advance and you may terminate your subscription before the change takes effect, in accordance with Section 12 of the Terms of Service.

Features that are marked as beta, preview, or early access are provided for testing purposes only. They do not form part of the owed functional scope and may be changed or withdrawn at any time, in accordance with Section 9 of the Terms of Service.
